A PRB can be a controlled index linked to an EDMS, avoiding needless duplicate files. Every document needs an owner, version and project relationship.

Project readiness

GREEN — ready for the next step

Critical information is complete, scope is clear and critical risk is controlled.

Proceed through the gate and confirm the information/scope basis.

YELLOW — conditional with open items

Controlled assumptions or missing information may affect price, time or scope.

Assign an owner, due date and required information.

RED — do not pass the gate yet

A critical safety, legal, capacity, sign-off, cybersecurity or ownership issue remains.

Gather evidence, survey or obtain authority approval first.

Safety, legal, critical capacity, professional sign-off, cybersecurity and scope ownership issues must not be downgraded from RED to YELLOW just to accelerate work.
